Submitting a Presentation

Name Your Files Correctly

As there are many speakers at the ASMBS Annual Meeting, it is important to label your PowerPoint files correctly. To help us, please name your file as follows (separate fields with underscores):

Format: TalkDate_LastName_FirstName_SessionID
Example: 062210_Miller_Tom_3601.ppt

o TalkDate: 062209
o LastName: Miller
o FirstName: Tom
o Session: 3601

4 Ways to Submit Presentations
(Suggested file sizes below are based on total presentation size plus supporting files such as movies. If you have multiple files and they are within the suggested file sizes limits you may email or upload them one at a time based on the recommendation)

Email (Suggested for files 15 Mb and under on a broadband connection)
E-Mail the presentation and all related files to: asmbs@avmg.com
If you have multiple files and they are each 15 Mb you should email one at at a time.

On-Line Upload (Suggested for files 1 Mb - 40 Mb on a broadband connection)
Please Note:
- The on-line upload system REQUIRES you to log in
- Credentials will be emailed to you
- If you would like to upload and are unsure of the process please email asmbs@avmg.com to inquire.

3 Mail (Suggested for files 40 Mb and larger - See CD Hints Below)
Mail a CD or zip disk to:

4 On-Site (Suggested for all file sizes)
Take your media to the appropriate on-site speaker ready room at least 24hrs in advance of the session where you will be speaking.

Acceptable Media for On-Site Presentation Submission

• USB memory sticks formatted for PC
• CD-R, CD-RW, DVD+/-R, DVD+/-RW (when making a CD be sure to FINALIZE the session)

Hints and Info
• It is helpful to store all files associated with one presentation in the same folder during the creation process
• When transferring your presentation to CD-Rom or USB Memory Stick make sure you include all supporting files such as videos and images
• When making a CD be sure to FINALIZE the session, if the recording session is not finalized the CD may not be accessible from all other computers
• To ensure the success of your presentation remember to make a backup copy of all files and transport that media in a separate piece of carry-on luggage
• All media submitted will be destroyed post show unless prior arrangements are made
• NO 35MM SLIDES WILL BE PERMITTED

NOTE: All media submitted will be destroyed post show unless prior arrangements are made. If you have given permission to place your presentation on the CD-Rom’s the association is selling, we will handle the transfer for you.

Speaker Ready Room Check-In:

It is MANDATORY that all presenters check in to the speaker ready room 24 HOURS PRIOR to the start of the session where you will be speaking.

Check-in is required whether you have pre-submitted your presentation or not
