Submitting a Presentation for On-Site Use

Naming Your Files Correctly

Please remember that there are many speakers at the ENA Leadership. If all presenters label their PowerPoint files 2013ENA, chances are that some may be mistaken with others of the same name. To aid in the cataloguing and retrieving of your presentation, PowerPoint files must be saved with the following way (separated by underscores):

Format:
Date_Last Name_First Name.ppt
Example: 022713_Smith_Scott.ppt

ATTENTION: ROOM NUMBERS CAN BE FOUND ONCE YOU HAVE LOGGED IN TO UPLOAD YOUR FILE!

Pre Submitting Your Presentation (Required)

Speakers must pre-submit their presentation using one of the following methods. All pre-submitted presentations will be reviewed by the Speaker Concierge for common errors such as issues caused by MAC to PC conversions. Should the Speaker Concierge find any errors with your presentation they will contact you to work out the best solution.

E-mail – E-Mail your PowerPoint presentation and all related support files to ena@avmg.com by February 1, 2013.

Alternate Method:

Mail
– Send a CD in the mail to the following address. Please be sure to mail it in time for AVMG to receive it by February 1, 2013.

ACCEPTABLE MEDIA FOR MAIL-IN SUBMISSION OR ONSITE BACKUP

• USB memory sticks
• CD-R, CD-RW - When making a CD be sure to FINALIZE the session. If the recording session is not finalized the CD may not be accessible from any other computer.
• No personal laptops will be accepted on-site.

To ensure the success of your presentation remember to make a backup copy of all files and transport that media in a separate piece of carry-on luggage.

NO 35MM SLIDES WILL BE PERMITTED

NOTE: All media submitted will be destroyed post show unless prior arrangements are made.

SPEAKER CONCIERGE ROOM CHECK-IN:

Check-in at the Speaker Concierge Room is required no less than 4 hours prior to your presentation. It is highly recommended that faculty check in 24 hours prior to your presentation if possible. Because of the heavy use this room may receive, it is suggested you plan accordingly. We strongly encourage you to review your slides in the Speaker Concierge Room to ensure all images, animations, and transitions as well as Greek characters and graphs transferred successfully.
