Submitting a PowerPoint for On-Site Use

The deadline to presubmit presentations is Friday, April 20, 2012.

Proper Naming of Files

Files names must include the following separated by underscores:
Presentation Date - mmddyyyy
Presentation Location - Rm33
Presentation Time - 2400 Clock
Speakers Name - Last Name_First Name

EXAMPLE (041311_Rm33_1300_Smith_John.ppt)

Submit Presentations

1 Email (Suggested for files 15 Mb and under on a broadband connection)
E-Mail the presentation and all related files to: pas@avmg.com
2 On-Line Upload (Suggested for files 15 Mb - 30 Mb on a broadband connection)
Please Note:
- The on-line upload system REQUIRES a username and password that is sent to each speaker via email from AVMG approximately 30 days prior to the start of the meeting
- Credentials supplied and used at the Association's web site WILL NOT work on the upload site
- If you would like to upload and require assistance please email pas@avmg.com

3 Mail (Suggested for files 30 Mb and larger - See CD Hints Below)
Mail a CD or zip disk to:

On-Site (Suggested for all file sizes)
Take your media to the appropriate on-site speaker ready room at least 24hrs in advance of the session where you will be speaking.

 

Speaker Ready Room Hours:

  Friday, April 27   3:00 PM - 6:30 PM
  Saturday, April 28 -   6:30 AM - 6:00 PM
  Monday, April 30    
  Tuesday, May 1   7:00 AM - 4:00 PM

Acceptable Media for On-Site Use
When transferring your presentation to a portable media source (i.e. CD-Rom, USB Flash Drive) make sure you include any external movie or picture files utilized in the same folder as your presentation. When making a CD be sure to FINALIZE the session. If the recording session is not finalized the CD may not be accessible from all other computer.

Laptops
If you are bringing your own Laptop, it is still required that you check in at the appropriate Speaker Ready Room to ensure the proper set-up in your meeting room.

Notes
Check-in with the speaker ready room at least 24 prior to the start of the session where you will be speaking is required whether you have pre-submitted your presentation or not.

To ensure the success of your presentation remember to make a backup copy of all files and transport that media in a separate piece of carry-on luggage.

No 35mm slides will be permitted

All media submitted will be destroyed post show unless prior arrangements are made.
